VoiceQuoter + Xero

VoiceQuoter is a Telegram-based quoting tool. Xero is an optional integration that lets you create a matching draft quote inside Xero whenever you publish a quote from VoiceQuoter. You do not need Xero to use VoiceQuoter.

Getting Started

  1. Start with VoiceQuoter on Telegram and complete the normal setup.
  2. Optionally use Sign up with Xero from the website if you want to start from your Xero identity.
  3. In Telegram, use /connect_xero if you have not already linked Xero through the sign-up flow.
  4. Approve the Xero authorisation screen.
  5. Publish a quote from VoiceQuoter. If Xero is connected, VoiceQuoter will create a matching draft quote in Xero.
VoiceQuoter keeps Xero optional. Non-Xero users can still use VoiceQuoter normally with Telegram, Google Sheets, and Gmail only.

How The Integration Works

What VoiceQuoter sends to Xero

  • Customer name
  • Customer email, if it exists on the quote
  • Quote number
  • Line items, quantities, and unit amounts
  • Quote date and expiry date

What VoiceQuoter does not do

  • It does not require Xero to sign up for VoiceQuoter.
  • It does not send invoices automatically.
  • It does not read broad historical accounting data just to run the quote workflow.
  • It does not send emails from Gmail without the user reviewing the draft.

Data Flow Diagram

1. Telegram The user speaks a job into the VoiceQuoter bot or uses the optional Sign up with Xero web entry point.
2. VoiceQuoter VoiceQuoter transcribes the message, matches line items from the pricing sheet, and builds a draft quote.
3. Gmail + PDF On publish, VoiceQuoter creates a Gmail draft with a PDF attachment for the user to review and send.
4. Xero If Xero is connected, VoiceQuoter creates a matching draft quote in the connected Xero organisation.

FAQ

Do I need Xero to use VoiceQuoter?

No. Xero is optional. VoiceQuoter can still be used without Xero.

What happens when I use Sign up with Xero?

VoiceQuoter captures your Xero connection on the web, then asks you to finish linking it to your Telegram-based VoiceQuoter account. That keeps the current product flow intact while satisfying Xero App Store requirements.

What happens when I publish a quote?

VoiceQuoter generates a PDF and creates a Gmail draft. If Xero is connected, it also creates a matching draft quote in Xero.

What if Xero is disconnected or my permissions expire?

VoiceQuoter will ask you to reconnect with /connect_xero. The core quote workflow still remains available.

Does VoiceQuoter sync everything from Xero?

No. This integration is focused on sending VoiceQuoter quote data into Xero as a draft quote. It is not a full accounting sync.

Disconnecting Xero

Inside Telegram, send /disconnect_xero. VoiceQuoter will attempt to revoke the Xero connection and clear the stored local tokens.
