VoiceQuoter ("we", "us", or "our") operates a voice-to-quotation service accessible via Telegram.
This Privacy Policy explains what information we collect, how we use it, and your rights.
1. Information We Collect
Voice messages — Audio sent to the VoiceQuoter Telegram bot for the purpose of generating a quote. Audio is transcribed via OpenAI Whisper and is not stored beyond the current quoting session.
Quote content — Customer names, phone numbers, email addresses, and job details you speak into the bot. Stored in your account so you can review and edit quotes before sending.
Telegram user data — Your Telegram chat ID, used to identify your account. We do not collect your Telegram username or profile photo.
Google account data — If you connect Gmail, we store an OAuth refresh token to create Gmail drafts on your behalf. We request only the minimum Gmail scope required (create drafts). We do not read your existing emails.
Xero account data — If you connect Xero, we store an OAuth refresh token to create draft invoices. We do not access your existing accounting data beyond what is required to create new drafts.
Pricing data — Your Google Sheets price list, read on each quote generation. We do not store a copy of your sheet.
2. How We Use Your Information
To transcribe your voice messages and generate quotes
To deliver Gmail drafts and Xero draft invoices on your instruction
To associate quotes with your account for review and editing
To operate and improve the VoiceQuoter service
We do not sell your data to third parties. We do not use your data for advertising.
3. Third-Party Services
VoiceQuoter uses the following third-party services to operate:
Supabase — secure database for tenant and quote data
Google (Gmail API) — creating Gmail drafts on your behalf
Xero API — creating draft invoices on your behalf
Railway — cloud hosting provider
Each of these services has its own privacy policy and data handling practices.
4. Data Retention
Voice audio is not retained after transcription.
Quote data is stored until you request deletion or close your account.
OAuth tokens are stored securely and can be revoked at any time from your Google or Xero account settings.
5. Your Rights
You may request access to, correction of, or deletion of your personal data at any time by contacting us via Telegram. We will respond within 30 days.
6. Security
We store all credentials and tokens in encrypted environment variables and a secured Supabase database. We do not log sensitive personal data.
7. Changes to This Policy
We may update this Privacy Policy from time to time. The "last updated" date at the top of this page reflects the most recent revision. Continued use of VoiceQuoter after changes constitutes acceptance of the updated policy.
