Who We Are
VoiceQuoter (“we”, “us”, or “our”) is operated by Dennis Price, trading as VoiceQuoter, based in New South Wales, Australia. We provide a voice-to-quote automation service delivered via Telegram Bot that converts voice notes into professional quotes and draft quote outputs (“the Service”).
This Privacy Policy explains what personal information we collect, why we collect it, how we use it, and your rights under the Privacy Act 1988 (Cth) and the Australian Privacy Principles (APPs).
By using VoiceQuoter you agree to the collection and use of information in accordance with this policy. If you do not agree, please discontinue use of the Service.
Data Collection
Information We Collect
1. Account & Business Information
- Your name and business name
- ABN / business registration number
- Business address and contact details
- Telegram user ID and username
- Email address, if you provide one or link one through Gmail or Xero
2. Voice & Quotation Data
- Voice recordings submitted via Telegram, processed immediately and not stored permanently after transcription
- Transcriptions generated from your voice notes
- Quote data such as customer names, job descriptions, line items, and amounts
- Pricing sheet data uploaded by you to Google Drive / Google Sheets
3. Customer Data You Provide
When you generate a quote, you may provide customer details such as name, address, phone number, and email address. You are responsible for having appropriate authority to share this data with us on your customers’ behalf.
4. Third-Party Integration Data
- Xero: encrypted OAuth tokens, Xero Tenant ID, and draft quote data necessary to create draft quotes on your behalf. Xero remains optional and is not required to use VoiceQuoter.
- Google: OAuth tokens for Gmail draft creation and Google Sheets / Drive pricing sheet access
- Paddle: subscription and billing data handled by the payment provider. Payment card details are not stored by us.
5. Technical & Usage Data
- Log data such as request timestamps and error logs
- Railway deployment environment metadata
- No browser ad tracking or marketing cookies are used by the core product experience
Data Use
How We Use Your Information
We use the information we collect to:
- Deliver the Service and turn voice notes into structured quotes
- Create draft quotes in your connected Xero organisation
- Create draft emails in your connected Gmail account
- Access your Google Sheets pricing data to calculate quote line items
- Process subscription payments via our billing provider
- Send transactional communications such as account setup and billing receipts
- Diagnose errors and improve Service reliability
- Comply with legal obligations
We do not sell your data. We do not use your voice recordings or quote data to train AI models. We do not send marketing emails without explicit consent.
Google Integration
Google API Scopes — Limited Use Disclosure
VoiceQuoter’s use of information received from Google APIs will adhere to the Google API Services User Data Policy, including the Limited Use requirements.
We request the following Google scopes:
- gmail.compose — to create draft emails containing your quote documents
- drive.readonly — to read your pricing spreadsheet stored in Google Drive
- spreadsheets.readonly — to read line items and pricing from your Google Sheet
Access tokens are stored securely in our Supabase database and used exclusively to perform the above actions on your behalf. We do not read, store, or analyse any other content in your Gmail, Drive, or Sheets.
Xero Integration
Xero Data
When you connect your Xero organisation, VoiceQuoter:
- Stores your OAuth 2.0 access token and refresh token encrypted at rest
- Stores your Xero Tenant ID to identify your organisation
- Creates draft quotes in Xero on your instruction
- May read the minimum connection details needed to maintain the Xero link and complete the quote workflow
You may revoke VoiceQuoter’s access to Xero at any time from within the Telegram Bot using the /disconnect_xero command, or directly via app.xero.com → Settings → Connected Apps.
Third Parties
Data Sharing & Sub-Processors
We share data only with the following sub-processors, for the stated purposes:
- Supabase — database and storage
- Railway — application hosting
- OpenAI — AI transcription and quote generation
- Xero — accounting integration
- Google — Gmail, Drive, and Sheets integrations
- Paddle — payment processing and subscription management
- Telegram — bot delivery platform
We do not share your data with unrelated third parties except where required by law.
Retention
Data Retention
- Voice recordings: processed for transcription and not stored after that step
- Quote records: retained for the lifetime of your account unless you request deletion, subject to legal obligations
- OAuth tokens: retained while your connection is active and deleted on disconnection or account cancellation
- Billing records: retained as required for financial record-keeping
- Log data: retained for operational and security purposes for a limited period
Security
Data Security
We protect your data through:
- HTTPS / TLS encryption in transit for API communications
- OAuth tokens encrypted at rest
- Row-level access controls and service-role isolation in the database
- No storage of raw payment card data by VoiceQuoter
- Ongoing code and operational security review
No method of internet transmission is 100% secure, but we take commercially reasonable precautions to safeguard your data.
Your Rights
Your Privacy Rights
Under the Australian Privacy Act 1988 and APPs, you have the right to:
- Access — request a copy of the personal information we hold about you
- Correction — request correction of inaccurate or incomplete information
- Deletion — request deletion of your account and associated data, subject to legal retention obligations
- Portability — request your quote history in a portable format where practical
- Revoke integrations — disconnect Xero or Google at any time without deleting your account

If you are not satisfied with our response, you may lodge a complaint with the Office of the Australian Information Commissioner (OAIC).

VoiceQuoter is a business tool intended for users aged 18 and over. We do not knowingly collect personal information from minors. If you believe a minor has provided us with personal information, please contact us immediately.
Updates
Changes to This Policy
We may update this Privacy Policy from time to time. When we do, we will revise the “Last updated” date at the top of this page. For material changes, we will notify active subscribers through an appropriate product channel where practical.
